1. Personal data controller

The controller of the personal data of participants in the 4th Stanica Distillery Picnic and of persons purchasing or reserving tickets is Restauracja Stanica Sp. z o.o., Stanica 4, 57-130 Stanica, Lower Silesian Voivodeship, Poland, KRS: 0001244357, NIP: 9141580116, REGON: 544927224, email: biuro@restauracjastanica.pl, hereinafter the “Controller” or the “Organiser”.

For matters concerning the processing of personal data, the Controller can be contacted at biuro@restauracjastanica.pl.

2. What data we may process

In connection with organising the Event we may process in particular: first name and surname, email address, telephone number, data necessary for payment and issuing accounting documents, the type of ticket purchased, master classes, accommodation, campsite and camper van reservations, data confirming shareholder entitlement, data on attendance at the Event, correspondence, marketing consents and communication channels, and images and voices recorded during the Event.

As a rule the Organiser does not require health data or other special categories of data. Data provided voluntarily, for example about an allergy or special requirements, will be processed solely to the extent necessary to handle the booking and in accordance with the law.

3. Purposes of and legal bases for processing

Organising and running the Event — ticket sales and reservations, registration, verification of shareholder tickets, payments, master classes, accommodation, campsite, camper vans, organisational information and other services; the legal basis is Article 6(1)(b) GDPR.

Fulfilment of tax, accounting, bookkeeping and other legal obligations — Article 6(1)(c) GDPR.

Security, complaints, and establishing, pursuing and defending against claims — the Controller’s legitimate interest, Article 6(1)(f) GDPR.

With the consent of the person concerned, the Controller may carry out marketing and provide information about further events, picnics, tastings, master classes, Restauracja Stanica, Stanica Distillery, the Stanica brand, Wolf & Oak Distillery S.A. and the entities of the Wolf & Oak group. Communication may take place by email, SMS/MMS or telephone. Where consent is required, the legal basis is Article 6(1)(a) GDPR. Consent is voluntary, is not a condition of purchasing a ticket or of participation, and may be withdrawn for all or selected channels.

The Organiser may take photographs and make audio and video recordings in order to document the Event, prepare coverage, provide information about its activities and promote the Organiser, future events, Restauracja Stanica, Stanica Distillery and Wolf & Oak. The materials may be published, among other places, online, on social media, in the press, in advertising, in printed materials, presentations, newsletters and audiovisual materials.

4. Participants’ images

The 4th Stanica Distillery Picnic is an event documented photographically and audiovisually. The image of a person forming part of a larger whole may be recorded and disseminated to the extent permitted by law. In the case of shots in which a participant is the main or clearly prominent element, the Organiser may rely on a separate authorisation to disseminate their image.

5. Authorisation to use images

A participant may grant Restauracja Stanica Sp. z o.o. a free-of-charge authorisation to record their image and voice during the Event and to use, reproduce, edit and disseminate photographic, audio and video materials documenting or promoting the Event, Restauracja Stanica, Stanica Distillery, Wolf & Oak Distillery S.A. and the Wolf & Oak group.

The authorisation may cover publication on the internet, on social media, on websites, and in press, advertising, marketing, promotional and printed materials, presentations, newsletters and audiovisual materials, without territorial limitation, for an indefinite period and without remuneration; it also covers cropping, editing and technical changes that do not infringe the participant’s personal rights. It does not limit rights arising from mandatory provisions of law.

6. Sharing data with Wolf & Oak

Data may be shared with WOLF AND OAK DISTILLERY S.A., ul. Jana z Kolna 11, 80-864 Gdańsk, Poland, KRS: 0000819619, NIP: 5833383921, REGON: 385187218, email: kontakt@wolfoak.pl, and with other entities of the Wolf & Oak group. A current list of these entities is available at destylarniastanica.pl.

Data will be shared with another group entity for its own marketing purposes only where there is an appropriate legal basis and, where the law so requires, after consent has been obtained.

7. Other data recipients

Data may be passed to providers of sales and reservation systems, payments, IT and hosting, mailing, SMS, telephony and call centres, CRM and marketing automation, accounting, legal and advisory services, and services supporting the Event, accommodation, catering, security, photography, film, marketing and advertising. These entities process the data on the basis of appropriate agreements or other legal bases.

8. Transfers of data outside the EEA

Some providers of IT, mailing, telecommunications, analytics, advertising or social media services may process data outside the European Economic Area. The Controller applies the safeguards required by law, in particular adequacy decisions or standard contractual clauses.

9. How long we keep data

Data relating to purchase and participation is kept for the period necessary to perform the contract and then for the period of legal obligations and limitation of claims. Marketing data — until consent is withdrawn, an effective objection is raised, the channel is discontinued or the purpose ceases. Withdrawing consent for one channel does not necessarily mean withdrawing it for others. Photographic and audiovisual materials may be kept indefinitely where there is a legal basis for doing so.

10. Rights of the data subject

Under the GDPR you have the right of access, rectification, erasure, restriction, portability, objection, withdrawal of consent, withdrawal of marketing consent for one or all channels, and to lodge a complaint with the President of the Polish Personal Data Protection Office (UODO). Withdrawing consent does not affect the lawfulness of processing carried out beforehand.

11. Voluntary provision of data

Providing data in order to purchase a ticket and arrange participation is voluntary but necessary in order to conclude and perform the contract. Marketing consent is entirely voluntary; withholding it for email, SMS/MMS or telephone does not affect ticket purchase or participation.

12. Changes to the Privacy Policy

The Controller may update this Policy in the event of organisational, technological or legal changes. Changes do not affect the lawfulness of actions taken before they were introduced. The current version is available on the Organiser’s website. Effective date: 20 August 2026.
